Registrar - Part Time

PRIMARY PURPOSE: 
The Part-Time High School Registrar is responsible for ensuring the integrity, accuracy, and efficiency of all student academic records, registration processes, and data reporting in alignment with the mission and values of St. Vincent–St. Mary High School. The Registrar plays a vital role in supporting academic operations by managing student enrollment, scheduling, transcripts, and graduation requirements, while upholding institutional standards and maintaining compliance with all relevant policies and regulations. As a key member of the academic team, the Registrar collaborates with administrators, counselors, and faculty to provide exceptional service and foster a culture of organization, accountability, and excellence. 

KEY RESPONSIBILITIES
Student Records Management
  • Maintain accurate and confidential student records, including grades, attendance,
    transcripts, and demographic data.
  • Process transcript requests for current and former students.
  • Update and manage records in the student information system (SIS).
Enrollment and Withdrawals
  • Assist with student registration and enrollment, ensuring all required documentation are collected and processed.
  • Facilitate the withdrawal process, including preparing transfer records and finalizing transcripts.
  • Collaborate with counseling staff to ensure proper course placements for new students.
Graduation and Reporting
  • Verify student graduation eligibility and prepare diplomas.
  • Assist in coordinating graduation ceremonies and maintaining related documentation.
  • Compile and submit reports to meet state and district reporting requirements.
Communication and Customer Service
  • Provide support to students, parents, and staff regarding academic records and enrollment processes.
  • Respond to inquiries from colleges, employers, and other institutions about student records, adhering to FERPA guidelines.
Other Administrative Duties
  • Maintain compliance with local, state, and federal regulations related to student records.
  • Provide administrative support to school leadership as needed.
  • Assist in organizing and managing school events related to academics and enrollment.
QUALIFICATIONS
Education and Experience
  • A high school diploma or equivalent is required; an associate’s or bachelor’s degree is preferred.
  • Prior experience in school administration or as a registrar is preferred.
  • Proficiency with student information systems, preferably Blackbaud, and office software (e.g., Microsoft Office, Google Workspace).
Skills and Competencies
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and high level of accuracy.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Problem-solving and multitasking skills in a dynamic environment.
Other Requirements
  • Familiarity with FERPA and other educational privacy laws.
  • Availability to work part-time hours, with flexibility during peak periods (e.g., enrollment or graduation).
Work Environment
  • This position operates in a professional office environment within the school setting.
  • The role may require occasional lifting of files and boxes, as well as standing or sitting for extended periods.
