Assistant Athletic Director

PRIMARY PURPOSE:

The Assistant Athletics Director shall have responsibility for assisting the Athletic Director in the overall management of the St. Vincent-St. Mary High School Interscholastic Athletic Program.

DIRECT REPORTS:

All paid and volunteer coaches, equipment managers, and trainers.

MAJOR RESPONSIBILITIES AND DUTIES:
  • Assist the Athletic Director in supervising the High School athletic programs in coordination with the Principal, President, and others.
  • Recommend policies and procedures relating to the athletic programs.
  • Assist the Athletic Director in the development and implementation of an annual budget.
  • Assist the Athletic Director with the development of the interscholastic athletic schedules, facility schedules, and officials’ schedules for all contests.
  • Assist the Athletic Director in the coordination of transportation for all athletic contests.
  • Assist with the coordination of support personnel for all athletic contests.
  • Assist the Athletic Director in the supervision of the athletic coaches.
  • Implement and monitor usage of the Athletic Code of Conduct.
  • Assist the Athletic Director in the supervision of all contests.
  • Represent STVM at state meetings for administering the interscholastic athletic program.
  • Create materials to publicize athletic department events in printed and electronic formats.
  • Disseminate information and foster awareness among students, staff, and the community in recognizing and supporting the school's athletic programs and attending events.
  • Maintain, create, and publish relevant promotional materials to websites and social media.
  • Maintain professional relationships with media sources to provide information regarding schedules, postponements, cancellations, statistics, records, etc.
  • Coordinate the scheduling of ancillary activities occurring prior, during, and after events.
  • Work with trainers handling all accidents and injuries, ensuring compliance with school policies, applicable laws, regulations, documentation, and reporting requirements.
  • Maintain records and ensure documentation of athletic program activities, events, participation, etc. to ensure compliance with school policies, laws, and regulations.
  • Manage all school-based software platforms used to collect personal information for all students, coaches, and employees.
  • Manage and monitor coach certifications, renewals, and applications.
  • Organize special events, banquets, signing days, acknowledgements, and speaker events.
  • Organize, facilitate, and collect all information for Summer Camps.
  • Maintain and prepare necessary game day and in-season materials and rosters.
  • Carry out other duties as may be assigned by the Athletic Director.
QUALIFICATIONS:
  • Bachelor’s Degree in Sport Administration or related field.
  • Previous experience as an Assistant Athletic Director or a similar role (preferred).
  • Knowledge of athletics, athletic programs, and physical fitness.
  • Knowledge of applicable federal and state laws and regulations regarding school district athletic programs, safety and health, and other areas under responsibility.
  • Ability to evaluate, develop, and implement athletic programs, activities, and events.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask, work within time constraints, and meet deadlines.
  • Ability to engage in self-evaluation regarding leadership, performance, and growth.
  • Ability to establish and maintain cooperative working relationships with others.
  • Proficient with Final Forms, Blackbaud, Arbiter, HomeTown Ticketing, and Paycor (preferred), or a willingness to learn.
PHYSICAL DEMANDS:
  • Work in standard office, school building environments, and athletic competition venues.
  • Prolonged periods of sitting, standing, and walking.
  • Physically fit and able to attend indoor and outdoor events.
  • Lift up to 15 to 50 pounds occasionally.
TRAVEL REQUIRED:
  • Travel to school buildings, athletic competitions, and professional meetings as required.
